Job Summary

Assist CFO and COO in all aspects of diary management and PA duties.

Assist the Group Company Secretary with a wide range of company secretarial matters, including organising and setting up Board and Committee meetings.

Provide administrative support to the Managing Directors as and when required. 

Principal Duties/Responsibilities

  • Maintain and manage the diary for the CFO and COO, organise meetings and appointments
  • Schedule, arrange, book travel, transport and accommodation
  • Deal with correspondence as required: telephone calls, emails and general enquiries
  • General administration – expenses/filing/scanning/type up reports and presentations etc.
  • Production and maintenance of the calendar for Board and Committee meetings
  • Liaising with the Executive Director in arranging calendar for Executive Committee meeting
  • Chase contributors for Board papers and then loading Board papers on to BoardVantage software
  • Chasing up action points after Board and Executive Committee meetings
  • Maintenance of Group Structure Chart (Visio)
  • Supporting Company Secretary in running Board meetings – setting up Skype/conference calls/meeting rooms/iPads
  • Assistance in loading corporate documents on to GEMS to create corporate database
  • Keep GEMS database updated and use it to file at Companies House
  • Assistance in establishing a proper filing system for company secretarial records
  • Assistance with completing basic FCA forms (Connect)
  • Representing Nexus brand and values
  • Complete a minimum of 15 hours of continuous professional development annually
  • Refer any matter beyond the level of an individual’s experience or authority to their line manager

Required Qualifications, Skills, Knowledge, Experience


  • A’Levels desirable


  • Enthusiastic and hardworking individual with a focus of providing the best possible service
  • Able to work effectively and collaboratively with others both internally and externally
  • High attention to detail in producing a quality output  and ability to work calmly under pressure within set timelines
  • Presentable, with excellent communication skills and confidence to ask questions to ensure job requirements are understood
  • Ability to multi-task and prioritise, also handle conflicting priorities 
  • Ability to follow instruction
  • Desire to find solutions to problems
  • IT literacy, including strong skills in MS Office package (Word, Excel, PowerPoint) and Outlook


  • Relevant experience in a similar role
  • Experience in dealing with Senior staff
  • Knowledge of BoardVantage
  • Some basic secretarial training
